Reserving a quote

Rentals are subject to the availability of equipment and manpower.

When Turtle Bear Designs Ltd. accepts your deposit, we commit these resources to your event.

All orders require a 50% down payment at the time of booking.

A valid credit card number that is authorized or cash deposit is held for security until the items are returned in full. The amount of the security deposit will be determined based on the value of the order. Proof of I.D. in the form of a driver’s license is also required upon pick-up.

Cancellation & order amendment

A 50% cancellation charge applies with less than 30 days' notice of the event.

 

A 100% cancellation charge applies to all orders cancelled within one week of the event.

 

Final Confirmation is due 72 hours prior to delivery. Changes to orders must be made prior to this time. 

 

Customers can postpone events for up to 16 months from the original event date to avoid cancellation charges.

Delivery of your equipment

It is your responsibility to check your invoice/contract prior to delivery to make sure that all requested items are listed.

Turtle Bear Designs Ltd. will make its best effort to deliver at requested delivery times, however, delivery schedules are not guaranteed in the event of traffic, weather, workload, and other circumstances beyond the control of the driver. 

Please arrange to have someone on-site at the time of delivery.

The client assumes all risk of damage or injury during the delivery of rental items. This includes damage to lawns, driveways, walkways, and underground utilities.

Deliveries are made to an area readily accessible to our trucks. Extras charges may apply for difficult access, repeated delivery, or pick-up attempts.

Care of rental items

Equipment remains the responsibility of the customer from the time of delivery to the time of its return.  Items are to be used for their intended purposes with normal wear and protected from damage due to neglect, abuse, or misuse.

  • STORAGE: Store all equipment in an area protected from theft, vandalism, or weather.

  • GLASSWARE: Empty glasses of all liquids and return them to their original racks/boxes.

  • COUNTERS: Wipe all surfaces using the provided cleaning supplies.​

 

Items not meeting these conditions are subject to additional fees. 

Damaged equipment 

Turtle Bear Designs Ltd. bills for damaged equipment. The client pays full retail replacement costs on damaged items.  This includes equipment damaged from wind, weather, fire, etc.  A damage deposit of $1000 will be placed on your card at time of booking and the cost for missing and damaged items will be charged to your credit card.

Notification of damaged or missing items MUST be reported by calling (780) 850-4351 upon delivery/customer pick up or as soon as noted. Please contact our 24-hour emergency service at (780) 850-4351 after hours to report such items.

Equipment return & missing items

All rental items must be ready for pick up at scheduled times and placed into their original storage containers. If you do not have someone on-site at the time of pick-up, you agree to accept Turtle Bear Designs Ltd. counts at the time of pick-up.

Equipment failure

All equipment is tested before leaving the warehouse, and again at delivery.

FAQs

​“How much is delivery & pickup?”

  • The first 50km are included in the rental price.

  • Please contact us for delivery outside this allowance.

“What are the hours for a rental?”

  • For evening events, your box will be delivered by noon on the day of the event. Set up and walk through takes about 1 hour. Your box will be closed up at the end of the night and picked up by 9am the following day.

  • For daytime events, boxes are delivered by 8am and picked up by 6pm.

  • Special arrangements can usually be accommodated.​

“Are there half day rental rates?”

  • No, all rentals begin with one day rates.

“Do the BBQ’s and other equipment have instructions?”

  • Yes.  Any equipment that requires instruction on setting up and operation comes with an instruction sheet. Be sure to review equipment use when it is delivered to you.​

“What do I need to make a booking?”

  • 50% down payment is required to secure your booking and a valid credit card on file for security purposes with the remaining balance due on delivery.

“What is the cancellation policy?”

  • A 50% cancellation charge applies with less than 30 days’ notice of the delivery or customer pick-up.

“What if my event is out of the city limits or province?”

  • No problem!  We can make special arrangements to have your box delivered anywhere you like.

“What if my event is more than a one-day event?”

  • Sounds like a party! All our rates for extended rentals are prorated with each additional day.  Please inquire for extended rental rates. We can be available to open and close the venue based on your schedule.

Security

We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.

While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment.

Orders

We request information from you on our order form. To rent from us, you must provide contact information (like name and address) and financial information (like credit card number, expiration date). This information is used for billing purposes and to fill your orders. If we have trouble processing an order, we'll use this information to contact you.
